HVAC Pocket Pro, LLC (“we,” “our,” or “us”) operates the Ductless Master mobile application (the “App”). This Privacy Policy explains what information the App collects, how we use it, and the services that help us operate the App.

By downloading or using the App, you acknowledge the practices described in this Privacy Policy.

We are headquartered in Illinois and operate under the laws of the State of Illinois and applicable federal law.

1. Information We Collect

1.1 Information You Choose to Provide

The App does not require users to create a traditional username-and-password account.

Users may optionally provide information through certain features.

Promo Code Requests

When you request a promotional access code, we may collect:

  • Your name

  • Your company or employer name

  • Your email address

  • The information included in your request

This information is used to review and respond to the request.

Access Recovery

If you choose to save or restore access on another device, we may collect your email address and a verification code associated with the access-recovery process.

Feedback and Bug Reports

When you voluntarily submit feedback or a bug report, we collect:

  • The message content

  • The selected feedback category

  • The anonymous user identifier associated with the submission

  • The email address or anonymous identifier associated with the submission, where applicable

Feedback is stored so that we can review it and respond.

AI Search Assistant Queries

When you use the AI Search Assistant, the App sends the text you enter to our server and to OpenAI to generate a response.

AI queries may include technical questions, equipment model numbers, fault codes, or other text entered by the user. Users should not submit passwords, payment information, or other sensitive personal information through the AI Search Assistant.

1.2 Information Collected Automatically

When you open the App, Firebase Authentication automatically creates an anonymous session. This session receives a randomly generated identifier. No name, email address, password, or social-media login is required to use the App.

We may automatically collect:

  • Anonymous Firebase user identifiers

  • RevenueCat app user and subscription identifiers

  • Subscription and entitlement status

  • Promo-code redemption status

  • App interactions

  • Screens, documents, videos, and technical content viewed

  • Technical search terms submitted within the App

  • Date and time of activity

  • Device platform, operating-system version, and related technical information

  • Information needed to manage purchases, subscriptions, and premium access

We use this information to provide App functionality, manage access, support subscriptions, and understand how the App is used.

1.3 Information We Do Not Collect

The App does not request or collect:

  • Precise GPS location

  • Approximate location

  • Contacts

  • Calendar information

  • Camera content

  • Microphone recordings

  • Biometric information

  • Credit-card numbers

  • Bank-account information

  • Payment-card security codes

  • Health or fitness information

  • The user’s email inbox

  • The user’s SMS or MMS messages

  • The user’s general web-browsing history

  • Photos or videos from the user’s device

  • Personal files or documents from the user’s device

Payments are processed by Google Play or Apple App Store. We do not receive or store the user’s payment-card details.

2. How We Use Information

We use the information described above to:

  • Operate and provide the App

  • Create and maintain anonymous sessions

  • Authenticate App requests

  • Grant or restrict access to premium content

  • Process subscription and entitlement information

  • Process promotional access codes

  • Restore access when requested by the user

  • Respond to feedback and bug reports

  • Process promo-code requests

  • Provide technical search results

  • Operate the AI Search Assistant

  • Measure usage of documents, videos, tools, and screens

  • Improve App content and functionality

  • Identify popular content and usage patterns

  • Prevent fraudulent promo-code use and unauthorized access

  • Monitor service reliability and usage

  • Send transactional verification or support emails

We do not use the information collected by the App for advertising or targeted marketing.

3. Third-Party Services

We use third-party service providers to operate parts of the App. These providers may process information according to their own privacy policies.

3.1 Google Firebase

We use Google Firebase for:

  • Anonymous authentication

  • Firestore database storage

  • App authorization and premium-content access control

  • Usage and session records

  • Screen, document, and video usage tracking

Firebase may process anonymous user identifiers, App activity, subscription-access records, feedback records, and technical information.

3.2 RevenueCat

We use RevenueCat to manage subscriptions and entitlements across Android and iOS.

RevenueCat may receive:

  • An anonymous App user identifier

  • Subscription status

  • Purchase and entitlement information

  • App and platform information needed to manage subscriptions

RevenueCat does not receive the user’s name or email address from the subscription-management flow.

3.3 Brevo

We use Brevo as a transactional email service.

Brevo may receive information necessary to deliver:

  • Access-recovery verification codes

  • Account-link verification codes

  • Promo-request notifications

  • Feedback notifications

  • Support-related messages

Depending on the feature used, this information may include a name, email address, message content, and request details.

3.4 OpenAI

The AI Search Assistant sends user-entered query text to OpenAI to generate a response.

OpenAI receives the query text needed to answer the request. The App does not intentionally attach the user’s name, email address, or Firebase identifier to the AI query.

The App does not store the full AI query or response in its own database after the response is returned. The App may retain the current conversation temporarily in memory while the AI screen is open. OpenAI’s handling of submitted content is governed by OpenAI’s policies and terms.

3.5 Google Play and Apple App Store

Subscription purchases are processed by Google Play or Apple App Store.

We receive subscription and entitlement information needed to determine whether premium App access should be active. We do not receive or store the user’s payment-card number, bank information, or payment security code.

4. Data Sharing

We do not sell personal information.

We may transfer information to service providers that help us operate the App, including:

  • Google Firebase

  • RevenueCat

  • Brevo

  • OpenAI

  • Google Play

  • Apple App Store

Information may also be disclosed when reasonably necessary to:

  • Comply with applicable law

  • Respond to a valid legal request

  • Prevent fraud, abuse, or unauthorized access

  • Protect the rights, property, or safety of HVAC Pocket Pro, LLC, our users, or the public

  • Complete a merger, acquisition, financing, restructuring, or sale of company assets

5. Data Retention

We retain information only for as long as reasonably necessary for the purposes described in this Privacy Policy.

Our current general retention practices include:

  • Anonymous session and usage records: Generally retained for up to 12–14 months from the relevant activity

  • Feedback submissions: Automatically removed after approximately 60 days unless needed temporarily to address an active issue

  • Promo-code request records: Generally retained for up to 2 years for administrative and audit purposes

  • Subscription and entitlement records: Retained for the duration of the subscription relationship and for a reasonable period afterward for accounting, fraud prevention, and support

  • Promo-code redemption records: Retained as necessary to enforce one-time-use, audit, and fraud-prevention requirements

  • AI Search Assistant queries: Not retained in our database after the response is returned, although the current conversation may remain temporarily in the App’s memory while the feature is open

  • Aggregated usage data: May be retained for analytics and service-improvement purposes

Retention periods may vary when required by law, needed to resolve disputes, or necessary to prevent fraud and abuse.

6. Data Security

We use reasonable technical and organizational safeguards to protect information, including:

  • HTTPS/TLS encrypted data transmission

  • Firebase Authentication

  • Firebase security rules

  • Server-side authorization checks

  • Restricted administrative access

  • Rate limits on selected account-recovery and access endpoints

  • Server-side validation of promotional access codes

No method of electronic transmission or storage is completely secure. We cannot guarantee absolute security.

7. User Choices

Users may choose whether to provide optional information such as:

  • Name

  • Company or employer name

  • Email address

  • Feedback

  • Promo-code request details

  • AI Search Assistant queries

Users may use the App’s core features without providing a name or email address.

Users may also:

  • Choose whether to use the AI Search Assistant

  • Choose whether to submit feedback

  • Choose whether to request a promo code

  • Choose whether to use access recovery

  • Cancel or manage subscriptions through Google Play or Apple App Store

  • Uninstall the App to stop future App activity collection

The App does not currently provide an in-App analytics opt-out switch. Users who have questions about privacy or data handling may contact us using the information below.

8. Account and Data Deletion

The App does not provide traditional user account registration.

The App automatically creates an anonymous session for App operation. Users do not create a username-and-password account inside the App.

The App does not currently provide a self-service account-deletion or data-deletion feature inside the App. Anonymous session data and other records may be retained according to the retention practices described in this Privacy Policy.

If you stop using the App or uninstall it, new App activity will no longer be collected from that installation. Some previously collected records may remain for the applicable retention period described above.

9. Children’s Privacy

Ductless Master is not directed to children under the age of 13.

We do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will take reasonable steps to remove it.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time.

When we make changes, we will update the Last Updated date at the top of this policy. Continued use of the App after an updated policy becomes available means that the updated policy applies to future use of the App.
